Mission
As the Administrative Assistant, you will be the cornerstone of our Sapporo office, ensuring seamless communication and coordination between the Headquarters and the local Proton Therapy site. Your responsibilities will encompass a diverse range of administrative functions, each critical to the smooth operation of our services.
Challenges we trust you with
Administrative Excellence:
- Assist in daily administrative tasks and business operations cross-functionally.
- Organize, control office supplies and place orders as and when necessary.
- Handle local procurement of goods and services in an efficient manner.
- Perform receptionist duties: greet visitors and handle incoming/outgoing phone calls.
- Receive and sort incoming mails/deliveries and send outgoing mails/packages.
- Collect, file, and organize documents & records manually and electronically.
- Perform various types of ad-hoc duties as assigned: preparing documents, reports, and presentations, scheduling meetings and appointments, organizing team events, running errands, etc.
Travel Coordination:
- Provide visitors with assistance in travel arrangements including hotel bookings, local transportations, and visa applications if necessary.
HR Support:
- Support onboarding and offboarding preparation and procedure.
- Organize periodic medical checkups for the team in a timely manner and maintain records.
- Manage personal dosimeters for the team, report and maintain records.
- Maintain and update contact lists and internal communication tools.
Accounting Support:
- Perform minor accounting duties such as preparing purchase orders and processing invoices.
Logistics Management:
- Assist in parts management, such as receiving, warehousing, and returning.
- Coordinate, organize, schedule and manage domestic & international shipments of parts & equipment.
- Prepare documents for exportation of goods in compliance with regulations.
What we value
You have:
- Minimum of 5 years' experience as an Administrative Assistant or Office Manager.
- Proficient in Japanese and English with strong communication skills.
And you also are:
- Self-sufficient and capable of working autonomously.

- Team player with excellent interpersonal skills.
Cherry on the cake
- Experience in HR or accountancy administration.
- Proficient in MS Office; knowledge of SAP is a plus.
- Experience in an international environment.
Practical informations
- Part-time contract (50%) : 20 hours / week.
- Salary Range for the part time : 1,750,000 JPY – 2,750,000 JPY, depending on experience and qualifications.
- 契約形態: パートタイム(50%)– 週20時間。
- 給与範囲: 1,750,000円~2,750,000円(経験と資格に基づく)。
