Site Test Coordinator

Mission
IBA is looking for an experienced Site Test Coordinator to drive critical operations between R&D teams and Proton Therapy (PT) sites.
In this role, you will act as a central coordination point for test missions, ensuring efficient planning, alignment of stakeholders, and smooth execution across multiple sites.
Challenges we trust you with
1. Operational Leadership & Cross‑Team Coordination
- Act as the central coordination point between R&D and the PT sites used for test missions.
- Serve as the Single Point of Contact (SPOC) for all R&D project testing needs.
- Collaborate closely with Project Managers, Verification Leads, and technical experts to ensure seamless mission preparation.
- Ensure process consistency, quality, and operational efficiency across all missions.
2. Strategic Planning & Prioritization
- Maintain and optimize a centralized planning tool for site availability.
- Negotiate site access (location, duration, conditions) for R&D missions.
- Allocate time slots based on:
- project priorities,
- test criticality,
- technical or logistical constraints.
- Provide mid-term visibility on workload, risks, and bottlenecks.
3. End-to-End Mission Management
Preparation & Feasibility Analysis
- Analyze mission requests submitted by Project Managers:
- testing objectives,
- required site/configuration,
- required tools,
- technical and human resources.
- Assess feasibility and validate prerequisites:
- site and resource availability,
- site validation status,
- HW/SW/CU configuration,
- tools readiness.
- Ensure definition of mission success criteria.
- Plan missions using unified templates.
- Organize mission preparation meetings with Project Managers, Verification Leads, Testers, and Remote Support Teams.
- Manage tool/equipment shipments when needed.
- Coordinate travel arrangements for mission teams.
- Ensure creation of communication channels between local team, mission team and remote support.
- During the Mission
Coordinate expert support with Project Managers and Verification Leads.
Ensure close follow-up with daily check-ins. - Post‑Mission
Ensure shift reports are completed using the defined templates.
Organize a Return of Experience (REX) session with the mission team.
Consolidate feedback and share key learnings.
4. Continuous Improvement & Process Optimization
- Update mission preparation and shift report templates.
- Gather feedback from site teams and Project Managers.
- Identify and implement high‑impact improvements regarding efficiency, quality, lead times, and cost.
- Support the development of a structured continuous improvement roadmap for R&D test missions.
5. Data‑Driven Reporting & KPI Ownership
- Produce and analyze KPIs, including:
- total mission cost by region (US/EU/RoW) and complexity,
- mission success rate (criteria to be defined),
- number of planning-related issues per quarter,
- additional KPIs to support decision-making.
- Provide clear, actionable reporting to leadership.
What we value
- A Master’s degree in Engineering (Business Engineering or equivalent), with a strong interest in a scientific and/or medical environment
- Around 5 years of experience in project management, multi-site coordination, or operational environments
- Strong analytical, organizational, and structuring skills
- Ability to coordinate multiple stakeholders across teams and levels of seniority
- Experience in R&D, industrial, or multi-site environments is a strong asset
- Good understanding of interactions between R&D, Engineering, Proton Therapy centers, Supply Chain, and Logistics
- Ability to make sound operational decisions under constraints
