Mission
Within IBA’s Proton-Therapy Service Logistics department, Reverse Logistics business focuses on revalorizing excess stock and defective spare parts returned from our global installed base. By repairing and reusing these parts, we aim to reduce waste, optimize our inventory, and deliver sustainable value to our customers worldwide.
The Reverse Logistics Administrator is responsible for managing the returns of defective materials from customer sites into the supply chain, with the objective of recovering high-value, strategic or long lead-time parts.
The role directly contributes to service stock availability, cost avoidance, while ensuring full traceability, compliance and operational efficiency.
Challenges we trust you with
As Reverse Logistics Administrator, you will play a key role in the operational activities of the Service Logistics department:
- Act as point of contact for customer return inquiries.
- Coordinate the collection of defective parts from customer sites worldwide
- Monitor the lifecycle of returned parts (collection, receipt, QC, repair, return to service stock)
- Identify parts eligible for recovery vs scrap
- Maintain accurate data to reflect decisions in working files and systems
- Reduce new parts procurement through recovery repaired parts
- Optimize transportation and reverse processing costs
- Provide customers with accurate return and repair status updates.
- Ensure traceability of reverse flow in our SAP system
- Create and manage logistical administrative documentation (RMA, shipments, Safety)
- Manage litigation cases with warehouse and quality through investigation with PT sites and PT Inventory team
- Ensure clear communication and smooth collaboration with the different internal departments involved (Sites, Warehouse, Quality, Procurement, Service Logistics teams)
- Continuous improvement
- Identify gaps and inefficiencies in the reverse logistics process
- Propose and implement process improvements and standard operating procedures
- Contribute to cross-functional Service Logistics optimization projects
- Support decision frameworks such as repair vs buy new strategies

What we value
You have:
- Bachelor’s degree in Business, Administration, Logistics, or Supply Chain.
- Experience or strong interest in logistics and supply chain operations.
- Previous experience in customer service or logistics operations.
And you also are:
- Proficient in Microsoft Office, especially in Excel; SAP S4Hana or Salesforce knowledge is a plus.
- Strong analytical and problem-solving skills.
- Excellent interpersonal and communication abilities; a true team player.
- Ability to visualize and understand material and information flows.
- Customer-oriented mindset with a focus on satisfaction and service excellence.
- High level of accuracy and attention to detail
- Ability to work with multiple stakeholders
- Fluent in English and French (additional languages are an asset)
