Project Coordination Associate

Mission
Elaborate and do the follow-up of the projects in all its steps (from creation to closing phase) in close relationship with Project Manager. You interact with all internal actors (engineering, manufacturing, supply chain…) and ensure the respect all the major contractual milestones of the project.
Challenges we trust you with
- Coordinate work process from project starting to site delivery
- R&D (Research and Development) task lists follow-up & prioritization Parts needs definition in project (BOM transfers) Logistics follow-up Packing and shipments requests definition
- Provide logistics site support during installation phases
- Management of all site parts requests during installation
- Ensure up-to-date project scheduling (in ERP) and Budget follow-up
- Project Creation & Schedule. Billing process start-up (Sales Orders creation). Planned costs definition & monitoring for all elements in project (budget definition & reforecasts support). Project rescheduling mastering (with monitoring of potential impacts on yearly budget). Project templates reviewed & updated in ERP system
- Be the interface contact with related departments
- Efficient communication & relationships with related departments (R&D, Supply Chain, Manufacturing)
- Assertive communication is used when required
- Analyze issues with impact on project and implement appropriate solutions
- Act as facilitator
- Reported problems and implemented solutions are documented
- Projects trade-off management (multi-projects prioritization)
- Participate to KPI definition, respect and communicate them
- Activities reported to project managers (formal through KPI + informal) on regular basis and with the required level of details and accuracy
- The management has the proper reporting to make decisions and follow activities. Efficient work is done, even under pressure
- Share knowledge and ensure good atmosphere with the rest of the team
- Good communication is maintained and feedback is given at all time to the team and the manager of the team
- Knowledge of IBA organization to use the right levers when required
- Knowledge of IBA Products
- Backup is organized
What we value
You have:
- 5 years of experience
- SAP knowledge (mandatory)
- Good knowledge of PackOffice (excel)
- Good oral & written communication in French and English
And you also are:
- Customer minded
- A team player with very good interpersonal and presentation skills
- Able to organize your work autonomously
