Procurement Administrator

Mission
Indirect procurement encompasses all non-production purchases, including investments, laptops, computers, consultancy services, legal support, and project-related expenses. Within this scope, the Procurement Officer plays a key role in ensuring the smooth execution of procurement and administrative processes.
The role involves managing purchase requests and orders, coordinating operational communication with suppliers, ensuring compliance and proper documentation in the ERP system, supporting invoice and payment processes, and handling reporting and administrative tasks related to purchasing. A strong focus is placed on optimizing all these processes to improve efficiency.
Key responsibilities
- Analyse and propose level-up or standardise all processes related to the function.
- Create, validate, and issue purchase orders promptly according to approved requisitions and contracts.
- Coordinate supplier creations and maintenance activities
- Liaise with suppliers to resolve administrative issues.
- Maintain professional and responsive communication.
- Ensure compliance and documentation
- Ensure all purchases comply with internal policies and regulatory requirements.
- Maintain accurate records of purchasing transactions and documentation.
- Ensure invoice and payment support
- Collaborate with finance to verify invoices against purchase orders and delivery receipts, facilitating timely payments.
- Handle reporting and administration
Skills and Qualifications
You have
- Bachelor’s degree or equivalence by experience
- A first experience in a similar coordination or administrative role.
- Proficient with SAP or ERP systems, Excel, Outlook, and Office tools.
- Experience with Power BI or other reporting tools is a asset.
- Excellent communication skills in English and French, both written and spoken

- Proactive and resourceful, with a problem-solving attitude.
- Capable of managing multiple priorities and maintaining composure under pressure.
- Autonomous, structured, and able to handle a high cognitive load.
- Assertive communicator and team player.
