Mission

Within Customer Project Coordination team, you are attached to Project Support Office for IBA Clinical. You will be the link between supply chain and Proton therapy project managers.
From project creation to final acceptance, as a Customer project coordination member, your mission is to be the link between MSC (manufacturing and supply chain) and the Proton therapy installation teams for equipment needs.
You will elaborate and do the follow-up of the project's equipment in close relationship with Project Manager. You will interact with all internal actors (engineering, manufacturing, supply chain, logistics…) and ensure the respect all the major contractual milestones of the project.

Challenges we trust you with

Following the lifecycle of a project:

- Creation of a project in SAP: set-up of the project to allow timesheet, expenses, procurement of parts. Set-up of the sales order to allow invoicing process.

- Transfer of all the parts required for an installation based on Project BOM from R&D Department

- Ensure follow-up of material availability forecast

  • Report material availability forecast to Project Manager and define strategy for missing items
  • Analyze issues with impact on projects and implement appropriate solutions
  • Secure efficient communication & relationships with related departments (Site, R&D, Supply Chain, Logistics)

- Organize shipment on site

  • Outbound all parts requested for main shipment
  • Organize procurement, outbounding and delivery of all parts requested in emergency during installation
  • Organize the crates based on Project requirements and Logistics constraints
  • Create adequate documentation for shipment (packing list, proforma,…) with appropriate data (country of origin, HS code…)
  • Organize return on experience to improve the quality associated to our scope of work

- Ensure up-to-date project scheduling (in ERP) - use of SVMX and SAP PS

  • Create part request in SAP PS based on requirements from the site
  • Update SVMX to communicate details to site

- Manage equipment budget of the project based on forecast. Follow-up of the progress to secure accuracy of the budget.

- Share knowledge and ensure good atmosphere with the rest of the team

  • Good communication is maintained and feedback is given at all time to the team and the manager of the team

What we value

 

You have:

  • 5 years of experience
  • SAP knowledge (mandatory)
  • Good knowledge of PackOffice (excel)
  • Good oral & written communication in French and English

And you also are:

  • Customer minded
  • A team player with very good interpersonal and presentation skills
  • Able to organize your work autonomously
